2. What this notice covers
This notice explains how we handle personal data collected through ceivertech.com: when you send an enquiry, sign up for updates, book a discovery call or browse the site. It does not cover personal data we handle under contracts with our clients.
3. What we collect
- Enquiry form: your name, work email, company, role, country, the topic you are interested in, your message, your acknowledgement of this notice, and whether you agreed to receive updates.
- Updates sign-up: your work email and your agreement to receive updates.
- Discovery calls: calls are booked through Calendly, which collects the details you enter in its booking form. Our website records that a booking was made, Calendly's booking reference and the page you booked from.
- Visit details sent with a form: the page you were on, and the campaign tags in the link you followed (for example utm_source). If you have allowed analytics cookies, also the website that referred you and the list of pages you viewed during that visit.
- Security: a one-way hashed version of your IP address, used only to limit repeated submissions and deleted within 24 hours. We cannot turn the hash back into your IP address.
- Analytics: if Google Analytics is in use and you allow analytics cookies, Google collects information about how you use the site, such as pages viewed, device type and approximate location.
Please do not include sensitive information (such as health data) in your messages; we do not need it.
4. How we use your data and our lawful bases
Under the UK GDPR and the EU GDPR we rely on these lawful bases:
- To reply to your enquiry and to arrange and hold discovery calls: our legitimate interest in responding to business enquiries, or steps you ask us to take before entering into a contract.
- To send you updates and insights: your consent, which you can withdraw at any time.
- To understand which pages and campaigns lead to enquiries and to improve the site: your consent for analytics cookies; our legitimate interests for the page and campaign tags sent with a form.
- To protect the site from spam and abuse: our legitimate interests.
- To meet legal obligations and to establish or defend legal claims: legal obligation or our legitimate interests.
We do not sell personal data, and we do not make decisions about you based solely on automated processing.
5. Who we share it with
- Ceiver group companies in the United Kingdom, India and the United States, to respond to you and deliver our services.
- Service providers acting on our instructions: Lovable (website hosting, database and email delivery), Microsoft (business email), Calendly (call booking) and, if in use, Google (website analytics).
- Professional advisers, and authorities where the law requires it.
- A buyer or successor if our business is reorganised or sold.
6. International transfers
Your data may be processed in India, the United States and other countries where our group companies and service providers operate. When we transfer personal data outside the UK or the European Economic Area, we rely on adequacy regulations or appropriate safeguards, such as the UK International Data Transfer Agreement or Addendum, the EU Standard Contractual Clauses or, where applicable, the UK–US data bridge.
7. How long we keep it
- Enquiries and call bookings: up to 24 months after our last contact with you. If you become a client, we keep relevant records for as long as our contract and the law require.
- Updates sign-ups: until you unsubscribe. We then keep a minimal record of your email address so we do not contact you again.
- Hashed IP addresses used for spam protection: up to 24 hours.
- Analytics data: no longer than 14 months.
8. Your rights
Depending on where you live, you can ask us to access, correct or delete your personal data, restrict or object to how we use it, or send it to you or another organisation in a portable format. You can object to direct marketing at any time, and you can withdraw consent at any time without affecting earlier processing. To make a request, email contact@ceivertech.com. We will respond within one month.
If you are in the UK, you can complain to the Information Commissioner's Office (ico.org.uk). In the EU, you can complain to your local data protection authority. If you are in India, you have rights under the Digital Personal Data Protection Act, 2023; contact us first and we will address your grievance. If you are in the United States, you may have rights under your state's privacy law; contact us to exercise them.
9. Security
Data is encrypted in transit. Only authorised Ceiver staff can view enquiries, through a signed-in account with access controls.
